Applies to: Reliance System
Since the September 28, 2026 update you can edit most of a reliance request after submitting it, including after pre-check. What you can change, and for how long, depends on the part of the request and on your role.
At a glance
| What you want to change | Who can change it | How long it stays editable |
|---|---|---|
| Study information (title, description, funding, proposed Reviewing IRB) | Submitter; research personnel at the Overall PI's home institution; home institution Site Admins | Through the Under Review state |
| A site's details (activities, populations, local information) | The study team, plus that site's Site Admins and listed research personnel | Until that site's reliance determination |
| Site investigators and research personnel | Study teams and Site Admins | Any time |
| Study documents (protocol narratives, consent forms, other PDFs) | Reviewing IRB staff; research personnel at the Overall PI's home institution | Any time, for the life of the study |
| Adding a new site | The study team | Any time |
| Overall PI | Cannot be changed yet — contact help@smartirb.org | — |
Until Reliance Is Reached Between Institutions: The submitter, research personnel at the Overall PI's home institution, and home institution Site Admins can edit any part of the request: in the Reliance Dashboard, select the vertical ellipsis (⋮) on the request, choose Edit Request, make your changes, and save.
Requesting revisions (Site Admins). While a request is Under Review, a home institution Site Admin can send it back to the study team: select Request Revisions at the top right, enter what needs to change, and submit. The study team receives the requested revisions by email and resubmits when done.
Editing site details. Request states apply to the whole request, but determinations are made site by site, so one site's details may still be open after another's are locked. Once your institution is added to a request, your Site Admins and any research personnel listed for your site can edit your site's details directly. If you are a relying-site Site Admin and something is wrong, revise it, save, and then confirm your institution's willingness to rely once the request is ready.
Updating site investigators and personnel. Study teams and Site Admins can add, edit, or remove them at any time; every site must still have a designated Site Investigator. A change of Site Investigator does not require re-executing the reliance arrangement: the determination PDF on the request updates automatically and needs no countersignature, so if your institution's policy calls for an arrangement naming the current investigator, download the updated PDF. Updating personnel here does not replace the Reviewing IRB's personnel-change amendment process. Steps: Add sites and personnel.
Updating study documents. Reviewing IRB staff and research personnel at the Overall PI's home institution can add or replace documents at any time: up to two protocol narratives, plus consent forms and other documents, all as PDFs. The system does not yet email anyone when a document changes, so tell the relevant institutions when you upload a new version.
Withdrawing and reopening. A request can be withdrawn and later reopened; a reopened request must be resubmitted to return to Under Review. Improved site removal and request withdrawal are on the roadmap.
