Site Admins with the User permission verify, deactivate, and manage the accounts of everyone at their institution from the User Management dashboard (the Users tab). A New User Request email also links there whenever someone registers with your institution.
Finding people. Search by name, email, or — if you administer more than one institution — by institution. By default the table shows accounts in the Confirmed state, since those are the ones waiting on you; use Filter Status to show all users or a specific status.
Account statuses
| Status | Meaning |
|---|---|
| Unconfirmed | The person requested access but has not yet verified their email address |
| Confirmed | The person verified their email and is waiting for a Site Admin to approve access |
| Active | A Site Admin approved the person; they can sign in |
| Deactivated | A Site Admin deactivated the account; the person cannot sign in (can be reactivated) |
Common tasks - Approve a new user: the account must be Confirmed. Select the pencil icon on the row, change the status to Active, and save with the green check mark (the red X cancels). - Resend a confirmation email: expand the row (chevron) and select Resend Confirmation Email. - Deny or deactivate: select the pencil icon, change the status to Deactivated, and save. Reactivate the same way. - Make someone a Site Admin: invite them to create an account, activate it, then change their role from General User to Site Admin; see The Site Admin role and permissions. - View history: expanding a row shows internal comments and the account's history log.
Do not create accounts for shared inboxes. Group email addresses belong in the Contact Lists (see Points of Contact, contact information, and group emails), not as user accounts, because a shared login does not produce an auditable action log.
