Applies to: Reliance System · Site Admins
Your institution's contacts live in My Institutions → [your institution] → Contact Lists. A Site Admin with the Institution permission edits them; select the pencil icon to enable editing and Save when done. Changes flow to the Participating Institutions page and to system notifications automatically.
The four contact roles
| Role | What it is for |
|---|---|
| SMART IRB Point of Contact | The Agreement's designated contact for all matters concerning the Agreement, including reliance decisions. Shown publicly. |
| Alternate Point of Contact | Backup for the POC. Shown publicly. |
| Institutional Official | The person authorized to sign the Joinder (and Indemnification Addendum). Used to generate signature requests. |
| Contact for Notices | Where formal notices under the Agreement are sent. |
Changing a Point of Contact. Follow the Key Points of Contact user guide. A new POC will also need a Reliance System account and, usually, the Site Admin role.
What other institutions see. The POC and Alternate POC names, emails, and (optionally) phone numbers appear throughout the Reliance System and in every email notification, so that anyone with a question about a request involving your institution knows whom to ask. You may list a shared office contact instead of an individual if that suits your workflow.
Group emails. If your IRB office triages reliance requests from a shared inbox, add it so it is copied on all institutional and request correspondence:
- My Institutions → select your institution → Contact Lists.
- Under SMART IRB POC, select the pencil, set Preferred Email Type to Group Email, and enter the address. You can set a different group email for the Alternate POC — useful where biomedical and social-behavioral reliance are handled by different offices.
- Save.
Group emails also appear on the Participating Institutions page when someone selects your institution's name. Do not register a group inbox as a user account (see Manage users).
